Texas State Benefits values the privacy of people who visit our website, request information, or arrange an insurance appointment. This policy describes how we handle information associated with our website, inquiries, appointment scheduling, and any appointment-related text messages you choose to receive.
This website policy is not a substitute for any separate insurance-carrier, financial-information, or health-information notices that may apply when you apply for coverage.
1. Information we collect
Depending on how you contact us, we may collect:
- Contact information: your name, telephone number, email address if you choose to provide one, and the contents of inquiries you send us.
- Appointment details: a preferred appointment date and time, the address of an in-person visit, scheduling changes, and related communications.
- Text-message preferences: whether you chose to receive appointment texts, the disclosure shown when you agreed, when that selection was recorded, and opt-out requests.
- Insurance-related information: details you choose to provide when requesting assistance or applying for insurance, which may be subject to additional notices and procedures.
- Basic technical information: information recorded by our website hosting or scheduling providers, such as IP address, browser type, device data, access times, and website requests.
Our public appointment and contact pages are not intended for submitting Social Security numbers, payment-card details, medical records, or other highly sensitive information. Please ask us for an appropriate way to provide such information when necessary.
2. How we use information
- Respond to questions and provide requested insurance information or assistance.
- Arrange, confirm, and manage appointments, including in-person visits.
- Contact you regarding an appointment, including changes, reminders, a missed appointment, or requests to reschedule, when permitted.
- Communicate with insurance carriers and service providers as needed to carry out services you request.
- Maintain records of communication choices and honor opt-out requests.
- Protect the security and functioning of the website, prevent misuse, and meet legal and regulatory obligations.
3. Appointment text messages and consent
If we offer appointment text reminders and you voluntarily check the text-message consent box, Texas State Benefits may send you appointment confirmations, reminders, schedule changes, missed-appointment follow-ups, and rescheduling messages at the mobile number you provide. Messages may be prepared or delivered by a representative or through automated or AI-assisted technology.
Checking the appointment-text box is optional. Consent to these appointment messages is not a condition of scheduling an appointment or purchasing insurance. That appointment-only choice does not authorize insurance promotions, marketing texts, or AI-generated telephone calls.
Message frequency varies based on appointment activity. Message and data rates may apply. Reply STOP to a text to withdraw SMS permission electronically; reply HELP for assistance. You can also request an electronic opt-out by emailing help@texasstatebenefits.com and identifying the number to be removed. We will retain the minimum information reasonably necessary to record and honor an opt-out.
SMS messaging is not yet active. Our website does not currently send appointment text messages. This policy section will apply when the service is activated.
4. When information may be shared
We may share relevant information with authorized personnel; insurance carriers or insurance-related parties involved in services you request; technology vendors that provide website hosting, appointment scheduling, calendar, email, or messaging services on our behalf; and authorities or other parties when required or permitted by law. Service providers receive information as necessary to provide services for us, not to market independently to you.
Mobile information and SMS consent: We do not sell, rent, or share mobile telephone numbers, text-message opt-in data, or SMS consent with third parties or affiliates for their own marketing or promotional purposes. This does not prevent the limited use of a messaging service provider to deliver requested messages on our behalf.
Nonpublic personal financial or health information obtained in connection with insurance services may be governed by additional privacy notices, applicable insurance laws, and any consumer choices provided under those laws.
5. Scheduling providers and external websites
Our in-person appointment form runs on Render and uses Google Calendar to check availability and store confirmed appointment details. Cloudflare Turnstile helps prevent automated or fraudulent requests and may process technical information for security verification. You do not need an email address to book an in-person appointment. Telephone callback links continue to open Calendly, whose own privacy policy applies. Links to other websites do not mean that we control their privacy practices.
6. Security and record retention
We use reasonable administrative and technical measures intended to help protect information. No website, electronic communication, or storage system can be guaranteed completely secure. We keep information as reasonably necessary for providing services, honoring communication preferences, maintaining records, resolving disputes, and complying with legal requirements; retention periods may vary by record type.
7. Your choices and questions
You may request a correction to contact information, ask about information we hold, or request changes to communication preferences by emailing help@texasstatebenefits.com. We will respond in accordance with applicable law and any verification needed to protect your information. For text-message opt-outs, replying STOP is the fastest electronic method once texting is active.
8. Updates to this policy
We may update this policy to reflect changes in services, vendors, or legal requirements. The date at the top of this page will indicate its latest revision.
